Quitting your job? You only need 4 sentences. Here's the exact template I've used to leave 3 companies on great terms.

A resignation letter is not the place to vent, explain your reasoning, or write a memoir. It's a short, professional document that creates a clean paper trail. Four sentences. Done. Here's the formula.

The 4-sentence formula

Every great resignation letter has exactly four parts:

  • Sentence 1 — State you're resigning, with your last day.
  • Sentence 2 — Thank them (briefly).
  • Sentence 3 — Offer to help with transition.
  • Sentence 4 — Sign off warmly.

That's it. You don't need to explain why you're leaving. You don't need to mention your next job. You don't need to "give context." The shorter the letter, the more professional you look.

Template: copy, paste, send

Dear [Manager's Name],

Please accept this letter as formal notice of my resignation from my
position as [Your Title] at [Company]. My last day of work will be
[Date — typically 2 weeks out].

I'm grateful for the opportunities and experience I've gained during
my time here. Please let me know how I can help ensure a smooth
transition during my final two weeks.

Sincerely,
[Your Name]

Example 1: Standard two-week notice

Dear Sarah,

Please accept this letter as formal notice of my resignation from my position as Senior Product Designer at Acme. My last day of work will be Friday, June 13, 2026.

I'm grateful for the opportunities and experience I've gained during my time here. Please let me know how I can help ensure a smooth transition for the design team during my final two weeks.

Sincerely, Alex

Example 2: Leaving on shorter notice (1 week)

Dear David,

I'm writing to give notice of my resignation from my position as Customer Success Manager at Beta Corp. Due to personal circumstances, my last day will be Friday, June 6, 2026.

I appreciate the opportunities you've given me and apologize for the shorter notice period. I'll do everything I can to wrap up current accounts and document my work clearly before I leave.

Best, Jordan

What NOT to include

  • ❌ Why you're leaving — save it for your exit interview if you have one
  • ❌ Complaints about your manager or coworkers — even if they're true
  • ❌ Where you're going next — you don't owe anyone this
  • ❌ Salary or compensation details — entirely irrelevant
  • ❌ Anything emotional — keep it professional

A note on the verbal conversation

You should always tell your manager in person (or video call) BEFORE sending the letter. The letter is a formality that follows the conversation. Sending it cold is a power move that burns bridges — even if you don't plan to use them.

Tip
Schedule a 15-minute 1:1 with your manager. Say, "I want to let you know I've decided to leave. My last day will be [date]. I'll send a formal letter after this call." Calm, kind, professional. Done.

One last piece of advice: keep a copy of your resignation letter in your personal email, with the timestamp. It's a useful paper trail in the very rare cases where employment disputes happen later.
